Quick answer: A couple calendar is one calendar you both can see and edit, so plans, work and kid logistics live in one place. If one or both of you work rotating shifts, you need a shared calendar that understands rotations, not just one-off events, so you can see who's home, who's working and which days off you actually share.

Your shift alarm knows the traffic, and your partner can know your schedule without asking. The tool above maps any rotation for all of 2027. Type your partner's pattern into the custom box using D for a 12-hour day, N for a 12-hour night, W for a 24-hour tour and O for a day off. For example, enter W1 O2 for a 24/48 firefighter, D4 O4 for 4 on 4 off, or D2 N2 O4 for two days, two nights, four off. Pick the first day of their cycle and a start time, and the calendar fills in the year with a count of shifts and hours. Download the .ics to put it in Apple Calendar, Google Calendar or Outlook, or print it. Run it once for each of you and you'll have both rotations side by side.

Why ordinary couples calendars break on shift work

Most shared calendars are built for nine-to-five lives with one-off events: dinner Friday, dentist Tuesday. A rotation is different. It repeats on a cycle that doesn't fit the seven-day week (3 days, 6 days, 8 days, 28 days), so "every Monday" recurring events can't express it. Typing 120-plus shifts by hand is how calendars go stale. Then one shift trade happens and the shared calendar is wrong, and you're back to texting "are you on Thursday?"

About 16% of U.S. wage and salary workers usually work a schedule outside regular daytime hours, according to the Bureau of Labor Statistics. If that's one of you, a couples calendar has to answer three questions at a glance:

What your month looks like when you both work rotations

Here is a real example for February 1-14, 2027. Partner A is a firefighter on a 24/48 schedule with a tour on February 3. Partner B works 4 on 4 off day shifts starting February 4.

DatePartner A (24/48)Partner B (4 on 4 off, days)What it means
Mon Feb 1OffOffShared day off
Tue Feb 2OffOffShared day off: date night
Wed Feb 324h tourOffB solo overnight with kids
Thu Feb 4Off (home in the morning)DayA recovering, does school pickup
Fri Feb 5OffDayA covers kids
Sat Feb 624h tourDayBoth working: childcare needed
Sun Feb 7Off (home in the morning)DayA recovering
Mon Feb 8OffOffShared day off
Tue Feb 924h tourOffB solo overnight
Wed Feb 10Off (home in the morning)OffShared, but A needs a nap first
Thu Feb 11OffOffShared day off
Fri Feb 1224h tourDayBoth working: childcare needed
Sat Feb 13Off (home in the morning)DayA covers kids
Sun Feb 14OffDayValentine's Day, but B is working

In two weeks this couple has five full shared days off, one of which starts with a recovery nap, and two days where both are at work. Neither pattern shows up if each of you keeps a separate calendar. Across all of February 2027, the same pair shares 10 days off. Your numbers will differ. Map both rotations in the tool above to find yours.

Couple calendar apps compared, for shift workers

Here's an honest look at the apps most couples try, based on their App Store listings in October 2026:

AppWhat it's built forRepeating shift rotationsAlarm before each shiftSharing
TimeTreeShared calendar for families, couples and work groupsNot described in its listingNot described in its listingYes, its core feature
Cozi Family OrganizerFamily calendar plus shopping and to-do listsNot described in its listingNot described in its listingYes, family-wide
SupershiftShift work calendarYes, including common 12-hour rotations up to 2 yearsYes, a fixed-time wake-up alarm per shiftYes
BoardSpyShift calendar plus shared family calendarYes, set once, fills 120 daysYes, a leave-by alarm timed to live trafficYes, with roles and change alerts

TimeTree is a strong general shared calendar and a good fit if neither of you works rotations. Cozi is great for running a household, with its lists and family calendar in one place. Supershift handles rotations and per-shift alarms, and lets you share. Where BoardSpy differs is that it combines rotations with a real shared family calendar, and its shift alarm rings when you need to leave based on live traffic, not at a fixed time. For a deeper feature table, see the shift work calendar app comparison.

How the BoardSpy shared calendar works for couples

What's free and what isn't. The free plan gives you one active rotation, one shared calendar with up to three members, a Google mirror into that shared calendar, one calendar alarm per day, and you can join any number of other people's calendars. That covers a couple, or a couple plus one. A family of four or more in one shared calendar needs Pro, which also adds unlimited rotations, calendars, members, mirrors and alarms, plus export to your phone's calendar. Prices are shown in the App Store and Google Play.

Pros and cons of a shared calendar when you work shifts

Pros

Cons

Sleep, commute and family when you both work shifts

Protect the sleeper. Mark post-night and post-tour mornings so the day-shift partner handles the school run quietly. The table above shows how often "off" really means "recovering."

Make the drive home safer. In a 2016 PNAS study, 6 of 16 night-shift workers had at least one near-crash on a test drive after a night shift and none after a normal night's sleep. If your partner comes off a rough night, a pickup or a nap before driving is worth planning into the calendar.

Leave on time without the guesswork. Each BoardSpy shift alarm is a leave-by alarm: it watches live traffic on your commute and rings when you need to go, plus your own lead time. Your partner isn't woken by a "you're late" scramble. For a single trip, try the free when-to-leave tool.

Set up a couple calendar in BoardSpy

  1. Install BoardSpy on both phones from the App Store or Google Play.

  3. One of you creates a shared calendar and invites the other by link or code as an editor.
  4. Optional: turn on the read-only Google Calendar mirror as "Busy" so non-shift plans show up too.
  5. Add shared checklists for days you're both working, and set your leave-by alarm lead times.

Frequently asked questions

What is the best couple calendar app for shift workers?

Look for an app that handles repeating rotations, not just one-off events, and that shares with your partner with change notifications. TimeTree and Cozi are strong general shared calendars. Supershift handles rotations and per-shift alarms. BoardSpy combines rotations with a shared family calendar and a leave-by alarm timed to live traffic. Choose based on whether rotations matter for you.

Is there a free shared calendar for couples?

Yes. BoardSpy's free plan includes one shared calendar with up to three members, one active rotation, a read-only Google Calendar mirror into that calendar, and one calendar alarm per day. You can also join any number of other people's calendars for free. A family of four or more in one shared calendar needs Pro, with prices shown in the app stores.

How do couples share a calendar when one works rotating shifts?

Put the rotation into a calendar that repeats it automatically, then share that calendar with your partner. In BoardSpy, the shift worker sets the pattern once and it fills the next 120 days. The partner joins by link or code and gets a push notification whenever the schedule changes, such as after a shift trade.

Can my partner's Google Calendar show up in our shared calendar?

Yes. BoardSpy can mirror your partner's Google Calendar events into the shared family calendar either as Busy blocks, which is private and the default, or with full detail. The mirror is read-only. BoardSpy never writes to or changes anything in Google Calendar. Apple Calendar is supported as well.

How do I find our shared days off?

Map both rotations for the same month and compare them day by day. The free tool on this page builds a full 2027 calendar for any pattern using D, N, W and O codes, so you can run it for each of you. In a shared BoardSpy calendar both rotations appear together, so shared days off are visible at a glance.

Can grandparents or a babysitter see our calendar?

Yes. Invite them by link or code and give them the viewer role so they can see who's working without editing anything. Keep in mind the free plan allows up to three members in a shared calendar, so a couple plus one helper fits. Adding more people to the same calendar requires Pro.

Your shift alarm knows the traffic.

Set each rotation once, share one calendar by link or code, and get a push when your partner's schedule changes. Free for up to 3 members.
